Why should our Catholic school hire capital campaign counsel?

A capital campaign is one of the most complex initiatives a school or parish can undertake and is too important to risk learning as you go. Counsel provides objective, data-driven planning, trains your volunteers, and protects the time of your leadership team. A well-run campaign raises many times more than the cost of hiring counsel, ensuring a strong return on investment and maximizing donor confidence in your vision.

Readiness is determined through objective data, not wishful thinking. We conduct comprehensive feasibility studies that listen to the "heart and head" of your organization to test your case for support, confirm achievable financial goals, and identify top prospects before you officially launch.

PIM is a full-service consulting firm focused exclusively on Catholic schools and institutions. Our team is comprised of former Catholic school presidents, principals, and advancement professionals who bring deep, lived experience to your campus. We understand that money flows from mission, and we bring a track record of never failing to meet or exceed a campaign goal.

We utilize a two-person team approach for campaign counsel, assigning both a Senior Partner and a Partner to your school. This ensures you have comprehensive strategic oversight, continuous access, and hands-on operational support throughout the life of the campaign.

During the intensive silent phase of the campaign, your PIM Partners will typically be on-site for two full back-to-back days per month. In addition to on-site visits, we conduct a scheduled 1 to 1.5-hour strategy session via Zoom every week to provide regular touchpoints and maintain strict momentum.

We operate under the standard that clients should feel we are embedded directly within their advancement office. Between scheduled visits and weekly meetings, our Partners remain highly accessible for quick phone calls, texts, and unscheduled Zoom meetings to assist with urgent solicitation prep or volunteer coaching.

We do not use cookie-cutter approaches; we tailor every engagement to the unique culture, vision, and goals of your school. Through our readiness assessments and feasibility studies, we actively interview your stakeholders, review your advancement data, and align our strategies with your community's Catholic values and long-term institutional health.

No. We view the annual fund and the capital campaign as "parallel paths" to your school's success. We carefully integrate annual fund messaging into all public campaign communications to protect the annual fund and ensure your regular operating revenue does not decline.

A capital campaign should remain in its quiet, leadership phase until at least 75% of the total financial goal is firmly committed. Only after this threshold is reached do we guide you in launching the public community phase.

A standard capital campaign requires a disciplined, multi-year approach, typically executed over a 24-month roadmap. This includes Preparation (Months 1–3), Leadership & Early Solicitation (Months 4–6), the Major Gift Phase (Months 7–12), the Public Launch (Months 13–18), and Community Celebration (Months 19–24).

Campaigns follow the "90-10" or "95-5" rule, meaning 90% to 95% of your total campaign revenue will come from just 5% to 10% of your donors. Additionally, 25% to 33% of your total campaign goal should come from your Board of Directors and past Board members.

The President serves as the chief spokesperson, visionary leader, and lead solicitor. They are responsible for personally managing a portfolio of 20 to 25 top major gift prospects, conducting 5 to 7 donor meetings a month, and securing the lead gifts that anchor the campaign.

Yes. Planned gifts can account for up to one-third of a campaign's total goal. We provide the frameworks, policies, and marketing materials to help you establish a Legacy Society and actively solicit estate gifts, bequests, and endowed funds alongside immediate capital needs.

Members of the Campaign Steering Committee are expected to set a positive example by making a generous and early financial commitment to the campaign. They also attend regular committee meetings, help identify and evaluate top prospects, host cultivation events, and assist in soliciting peers.

We build a highly structured "prospect matrix" that isolates your top 10, 25, and 50 prospects. (The matrix usually has more than 50 prospects…more like 150-200.  At least mine do!) This pipeline is developed using objective wealth screening tools, giving history from your CRM, and direct feedback gathered during the feasibility study.
